Altorney is excited to announce the launch of its new tool within the Altorney platform: Altorney Manage. Altorney Manage is built to empower law firms to seamlessly oversee their internal staff alongside Altorney document reviewers or their internal staff exclusively. Let's take a closer look at what this new feature has to offer!

What Can Altorney Manage Do?

Over the last year, Altorney has had immense success with clients on the sourcing side, helping them in finding the right document reviewers and legal staff to help them on various projects. We’d heard from many of our law firm clients that they truly enjoyed using Altorney for the sourcing and the managing of those attorneys who they’re finding. However, they also said it would be even more helpful if they could utilize the tools for their internal staff as well. From this input, the concept of Altorney Manage came to be.

With Altorney Manage, you now can invite internal reviewers with a custom email invitation prompting them to join your firm on Altorney. Once they’ve joined, they are active as internal users and you can start assigning them to cases. Let's go through the process of setting up a case using Altonery Manage.

Setting Up a Project in Altorney Manage

Getting started is fast and straight forward. First, name your project and assign the parties involved, including mentioning any outside firms. Define the start and end date of this project. Altorney Manage will ask you whether or not any of the reviewers need to have any kind of specialities. You can view the reviewers' various specialities and the different types of cases that they’ve worked on, helping you to filter down and find the right people internally who have worked on a myriad of cases. This includes specifying if you need foreign language skills. You can also put in whatever requirements you want them to have or any other information about this case that you want to give them.

Budgeting and Forecasting

Set the number of reviewers required and utilize the budgeting and forecasting tools to set your internal rate of what the internal reviewers will be billing out at, and track them for the client. You will then invite the reviewers, and the system will show you all of the reviewers who are in your firm that have been added to Altorney Manage. Once they’ve been added onto the project, you can go ahead and start managing them throughout the process.

Learn More About Your Reviewers and Internal

You have the ability to see, within your reviewers, specific things about them. For example, you can add notes about what they’ve done on this case, give them ratings to help you track their efficacy, as well as view their availability and even get notifications about when they are scheduling time off. From a resource allocation standpoint, you are able to see who is going to be available, and who to assign to the correct cases as needed.

From the portal, reviewers can track all of the different cases that they're working on, log their work time, and bill how many hours they have worked. Managers can track all of the time reviewers are billing and view time that has already been approved, currently pending and approve time with a click of a button. These are some of the core functionalities of being able to track your reviewers, put them on the right cases, and manage them based on their skills.

The Relativity Integration Feature

If you are utilizing our Relativity Integration feature, then, within each case, you have the ability to track metrics. By going into the Case Metrics tab, you can view several different metrics gathered about the reviewers. Select which fields you care about, and assign values to each field of how much credit a reviewer gets for getting a decision correct, and how much negative credit (debit) when their decisions are overturned during QA or QC. This way, you can start to track both the speed of the reviewers and their scores of how accurate they are. You can do that about the case overall, or for specific fields such as responsiveness, privilege, confidentiality, and more. Easily view their overall score, their speeds, their overturns, score over time, edits over time, and overturns over time.

The purpose of this feature is to provide you with all of the information you need about the reviewers— even seeing the percentile the reviewers are in regards to the number of documents they’ve reviewed, their speed, and their accuracy. With all of that, you can very quickly aggregate this information so you can see, on any individual reviewer basis, what is the reviewer doing across all of the matters the reviewer has worked on, and how does this reviewer compare to all of the other reviewers you have in your internal staff. Make sure to reward those who are doing a good job, and help and coach the people who need some additional help.

Keep in Touch

All of this comes with the ability to send reviewers notifications if you have any questions within any individual matter. Simply contact any individual reviewer by using the Integrated Chat feature. A group chat is automatically created for each case within the platform, so this way you have a direct communication channel for all of the reviewers and staff who are working on an individual case.
